Payment deadline is fast approaching

The Ohio Bureau of Workers’ Compensation grants select employers the right to become self-insuring, meaning that the employer administers their own workers’ compensation program, paying premiums to the Ohio State Insurance Fund directly and handling payments for all claims directly. Self-insuring (SI) employers receive assessment invoices each year at the end of January and July. BWC levies assessments based on the prior year’s reported paid compensation for all active self-insuring employers.

Details of the announcement

Assessment invoice payments are sent to self-insuring employers each year at the end of January and July. The payment deadlines for February 28 (or February 29 in a leap year) and August 31, respectively. Payments for each invoice must be posted to the employer’s account by the due date to be considered on time. There is NO grace period.

Invoices for July will be available online by July 30, 2018 under Policy Documents. For more specifics about your latest invoice, use the SI invoice details service offering.

Deadline and late payment penalties

Invoices can be paid by electronic check or ACH transfer, credit card, and check. Payment must be received at the address noted on your invoice with enough time to allow processing and posting to the appropriate account by the due date.

For all checks, it is imperative that self-insurers include their policy number on the check and attach the stub included with their invoice. Delays in process are likely without this necessary information. To avoid potential late payments, employers can elect to schedule payment in advance.

If you disagree with a late payment penalty, you have the option to request a review of the penalty. You must provide proof of timely submission of payment. Postmarked envelopes do not constitute valid evidence of timely submission. Items that constitute sufficient support of timely submission include:

  • Electronic confirmation of payment
  • Overnight receipt confirmation
  • BWC date stamp with timely receipt date.

Remember, you must allow adequate time for posting of your payment to your account prior to the due date. Delays can be costly and are avoidable with proper time management of payments.
